The last day before the departure can be the most stressful but with this ultimate checklist, the whole planning process gets easier. At some point, I got tired of running around that last day because I kept telling myself “There is time” for two weeks before that. Because those last 24 hours were always hectic, I would usually realize way too late I had forgotten something important. Things changed when I made a checklist of things I should have ready 24 hours before we departed.

I usually start the planning process with this checklist to ensure I’m not missing anything. When we choose a destination, I go through the list and write down things to do, like applying for a visa, extending my passport, researching the destination, downloading useful apps, finding a person I’d leave my key to, etc.
Here’s a comprehensive checklist to ensure a smooth start to your adventure.
- Documents: The Essentials
- Travel Warnings and Conditions
- Travel Insurance and Urgent Contacts List
- Online Flight Check-In
- Luggage
- Currency Exchange
- Tech, Gadgets & Travel Entertainment
- House Maintenance
Documents: The Essentials
Given you have previously checked your passport validity and visa requirements, put them both on a visible spot. 24 hours before you leave, you should have all the papyrology sorted out. This also includes travel itinerary, boarding passes, and any reservation confirmations. Make photocopies of these documents and keep a digital backup on your phone or cloud storage. It’s also wise to have a physical copy of your passport photo page in case of loss or theft.
Waterproof Document Container: Store all documents in a waterproof container. You can buy reusable plastic bags with a zipper or a waterproof folder.
Extra Tip: File your documents in the order you’ll need them. For example, keep your passport and boarding pass at the top, followed by hotel reservations and attraction tickets.
Travel Warnings and Conditions
When you choose your travel destination you must research how safe and stable it is. Your travel planning should also consider weather conditions, travel warnings, health concerns, or local conditions that might affect your trip. This ensures you’re aware of any potential risks and can plan accordingly. 24 hours before your trip you should consider the two most important things:
Travel Warnings: Check for any last-minute travel warnings or advisories for your destination. This includes political unrest, health concerns, or natural disasters.
Delays and Weather Conditions: Monitor your flight status for any delays. Check the weather forecast at your destination to pack appropriately.
Travel Insurance and Urgent Contacts List
The importance of travel insurance cannot be exaggerated. This is not what you should be saving on, but rather make sure that your travel expenses don’t go through the roof due to a minor incident. After you have confirmed the date & destinations, and bought your tickets, set up a reminder on your phone for 5 days before the trip to buy travel insurance.
If you haven’t done so until now, 24 hours before your trip is still good enough to buy online travel insurance. I usually use Grawe mostly out of habit and convenience, but I am sure there are many other good options.
Keep your insurance details handy, including policy numbers and emergency contact information. Also, prepare a list of urgent contacts, including family members, your embassy in the destination country, and local emergency numbers.
Online Flight Check-In
When you book your ticket, make sure you can check-in online. Usually, airlines allow online check-in 24-48 hours before departure. This can save you time at the airport and help you secure better seats. Also, double-check if you need to come earlier and have your boarding pass printed at the desk.
Extra Tip: Screenshot your boarding pass in case the airline’s app has connectivity issues.
Luggage
Ideally, I start washing and setting aside items for packing 5-6 days before the trip. After researching the destination, I make a list of essential items, including clothes, toiletries, medications, and any special items I might need for this destination. I keep checking the weather forecast for any last-minute changes and adjust my luggage accordingly.
24 hours before the trip, double-check your checked luggage to make sure you have everything, weigh it, and adjust.
Check Your Pockets and Wallet: Remove unnecessary items. This not only lightens your load but also reduces the risk of losing important items.
Cosmetics and Liquids: Pack any cosmetics and liquids according to TSA guidelines. Use travel-sized containers and ensure they’re in a clear, zip-top bag.
Essentials for Carry-On: In case your checked luggage is lost, have essential items in your carry-on. This includes a change of clothes, toiletries, medications, and important documents.
Currency Exchange
Research the best options for currency exchange. It’s often more cost-effective to exchange a small amount of money before you leave and pay by card at your destination. Inform your bank of your travel plans to avoid any issues with your credit or debit cards being blocked for suspicious activity.
24 hours before your trip exchange some money for the local currency of your destination. Having cash on hand is useful for taxis, tips, and places that don’t accept cards.
Tip: Avoid airport exchange rates; they tend to be higher. Visit your bank or a local exchange office.
Tech, Gadgets & Travel Entertainment
24 hours before the departure, check your tech. Gather all your essential tech items, such as your phone, laptop, chargers, power banks, and travel adapters. Download any necessary apps, maps, or entertainment to your devices. If you plan to use your phone abroad, check with your service provider about international plans or consider getting a local SIM card to avoid roaming charges.
Device and Cloud Storage: Ensure your phone and camera have enough storage for new photos and videos. Backup important files and photos to the cloud.
Chargers and Converters: Pack all necessary chargers and power converters. Charge all your devices fully the night before.
Long flights and layovers can be tedious, so pack some entertainment options. Download movies, music, podcasts, or e-books to your devices. Consider carrying a deck of cards, travel-sized games, or a good old-fashioned book to keep you occupied during downtime.
House Maintenance
Coming back from a trip to a messy home is one of my least favorite things. Considering how hectic the last 24h hours can be, it was common that I leave the apartment as if there was a minor nuclear explosion.
These days, when I start planning my trip I include house maintenance into the equation. In the days before the trip we eat as much food from the fridge, empty the laundry basket, declutter and clean the kitchen & bathroom. Depending on how long we’re staying, I arrange for someone to come over once or twice to water my plants and check on the apartment. If you have pets, make sure their care is well-organized, whether it’s with a pet sitter or boarding service.
The last 24 hours are for the final touches. Change your bed sheets and towels, throw out your garbage, and adjust your thermostat to save energy.
Unplug all unnecessary devices to save energy and reduce the fire risk, ensure faucets are tightly closed, and check for leaks.
Finally, leave your key to a trusted neighbor or a friend and give them the instructions/warnings they might need.

Preparing for a trip can be overwhelming, but with this ultimate checklist, you’ll be well on your way to a stress-free start to your adventure. Remember, the key is organization and preparation.
